A verification is a guest booking plus the acknowledgment workflow: link sent, wizard completed, PDF generated, and audit events recorded. In the app, verifications appear on your dashboard and under each property's Verifications tab.
Creating a verification manually
Go to Verifications → Create verification for a property. You will need:
- Guest name
- Booking reference (any label you use internally)
- Check-in and check-out dates
- Headcount
- Guest phone and/or email, depending on notification channel
On submit, CheckinRules creates a secure token, queues SMS and/or email if configured, and shows you the guest URL and optional pre-arrival message text.
Verifications from PMS sync
On Starter and above, connecting OwnerRez can create verifications when bookings sync or arrive via webhook. Linked properties show a PMS badge in the sidebar. See Integrations for setup.
What the guest sees (the wizard)
Guests open a link like yoursite.com/v/abc123... with no account. The flow:
- Welcome — Booking summary and property name.
- Rule steps — One screen per enabled module and custom rule, in your saved order.
- Sign — Final acknowledgment and signature capture.
- Success — Confirmation; they can open a copy of the PDF.
If the link expires or the booking is no longer valid, guests see an error state instead of the wizard.
The signed PDF
The PDF is your dispute-ready record. It includes booking details, each acknowledgment with answers, signature time in the property timezone, and audit metadata. Hosts download it from the verification detail page; guests can view their copy after success.
The template snapshot stored on the verification is immutable—it is exactly what was configured when the guest started, even if you later edit property rules.
The audit trail
Every important action writes an append-only audit event: link opened, step completed, verification submitted, contact updated, and more. The verification detail page shows a timeline for your team; the PDF summarizes key events for third parties.
Resending or canceling a verification
If contact details were wrong, update phone or email on the verification detail page and resend—the system rate-limits resends to prevent abuse.
Cancel or mark bookings inactive according to your workflow in the app; guests cannot complete a wizard for canceled stays. Completed verifications cannot be "unsigned"—create a new booking if you need a fresh acknowledgment.
Watch out for:
Send the link early enough that guests have time before check-in. Reminders are scheduled automatically based on your notification settings.
